What information we collect, use, and why

We collect or use the following information to receive donations or funding and organise fundraising activities:

  • Names and contact details
  • Addresses
  • Donation history
  • Tax payer information (for Gift Aid purposes)

 

Lawful bases and data protection rights

Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO’s website.

Which lawful basis we rely on may affect your data protection rights which are in brief set out below. You can find out more about your data protection rights and the exemptions which may apply on the ICO’s website:

  • Your right of access – You have the right to ask us for copies of your personal information. You can request other information such as details about where we get personal information from and who we share personal information with. Our lawful bases for the collection and use of your data

Our lawful bases for collecting or using personal information to receive donations or funding and organise fundraising activities are:

  • Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.
  • Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:
    • Our legitimate interest in collecting or using personal information is to benefit the charity by requesting information such as whether the donor is a UK Taxpayer. This allows JCSR to reclaim 25% of donations through gift aid. This has allowed the taxpayer to opt in or out of providing this information. They are under no obligation to provide us with their information. The risks/impact on the donors are low. All information is processed internally, and we do not share any of our donor’s information with third parties unless expressly stated. All personal information is stored locally on a hard drive and is safely stored. This information is not accessible to any public organisations/bodies.

How long we keep information

  1. Purpose 

JCSR is committed to ensuring the proper retention and disposal of personal data in compliance with applicable data protection laws and regulations. This retention schedule outlines the duration for which we will store different categories of personal data and the procedures for their secure disposal.

  • Retention Period 

All personal data collected and processed by JCSR will be retained for a period of four (4) years from the date of collection, unless otherwise required by law or specific contractual obligations.

  • Secure Disposal 

At the end of the retention period, JCSR will take appropriate measures to securely delete or anonymise the data to prevent unauthorized access. This may include:

  • Permanent deletion from electronic databases
  • Secure shredding of physical documents
  • Anonymisation of personal data where applicable
  • Exceptions 

In certain cases, JCSR may retain data for longer periods if required by law, regulatory obligations, or in the event of ongoing legal proceedings.
